APPLY NOW Our client is a successful agri tourism business who is searching for a Guest Services / Receptionist to deliver efficient and professional “front line” customer service when dealing with visitors, telephone calls, courier and delivery services as well as other corporate requirements. Responsibilities include but are not limited to: RECEPTION Answer incoming calls in a prompt and courteous manner and redirect calls to appropriate personnel as required. Send email & telephone messages to appropriate personnel. Open, date stamp, sort and distribute incoming mail daily. Collate and prepare outgoing mail for dispatch as required. Organise courier services as required and ensure courier services are efficiently organized. GUEST SERVICES In conjunction with Sales & Promotions Manager assist with the set up and implementation of the booking platform. Administer online booking platform to ensure tour availability and passenger configuration is correct. Assist with direct bookings via email. Raise invoices for domestic and international group bookings. ADMINISTRATION MANAGEMENT Prepare and distribute meeting minutes and memos to staff. Perform general administration and typing duties as requested or directed in a timely manner. Ensure filing is up to date as well as telephone, memo and staff listings. OFFICE MANAGEMENT Review and maintain office supplies for printer, photocopier, etc. Carry out weekly stationery supply stock take and prepare stationery orders. Arrange regular maintenance and servicing of office equipment. Maintain boardroom and ensure that it is clean and presentable at all times. Prepare and serve refreshments as required. Ensure reception and admin office areas are kept clean and presentable at all times. Maintain meeting/boardroom booking schedule. SAFETY & ENVIRONMENT MANAGEMENT Responsible for the health and safety of self through education, training and demonstration of the proactive behaviours. Responsible for the administration of the safety system. Ensure your own work activities completed in a safe manner. Keep policies up to date and documentation filed in correct location for staff access. Keep managers and supervisors up to date with expectations from health and safety meetings. Requirements Demonstrated capability to manage business administration and record keeping. Minimum 5 years experience in a similar role within a corporate business environment. Experience working to deadlines. Excellent communication skills, both written and verbal. Computer Literacy - Microsoft Office suite Ability to work well in a team and independently. Excellent time management and organisation skills. Ability to pay attention to detail and solve problems. Current Driver's Licence. What’s in it for you? Opportunities for career progression.
