About the role In this role, you will provide professional and positive administration support services to meet the strategic and business requirements of the Community Experience Department. Work type: Temporary, part-time (12 month contract, 36 hours per fortnight) Classification: Band 5 ($76,355 - $83,315) Key responsibilities include: Ensure the provision of an efficient and effective administrative and customer support role to the Manager Community Experience and department staff, internal and external customers. Provide administrative assistance with research and benchmarking projects. Maintain the highest ethical standards, exercise discretion and maintain confidentiality of sensitive issues handled within the office. Organise events and functions related to the activities and projects of the ComEx. The co-ordination of diaries, meetings, events and development programs. The preparation and administration of correspondence arising from ComEx activities including, but not limited to: minutes, agendas, reports, submissions and actions plans. The creation and maintenance of standard letters, templates, documents formats, mailing lists and other information for the ComEx and wider Council. The processing of all invoices, purchasing and finance administration. The administration of correspondence, mail and file movements in line with Document Management Services and internal document control procedures. About you To be successful in this role, you will have highly developed organisational and customer service skills and the ability to manage a range of tasks simultaneously. Essential Experience: Advanced skills in MS Office (Word, Excel, PowerPoint) and other appropriate computer software (eg. Oracle, ReX, RFS); keyboard skills to 70wpm. Relevant qualifications and/or extensive secretarial, administrative and financial experience. Well-developed written communication skills to prepare correspondence, reports, research (including using the internet), minutes and presentations for the Community Experience Department Manager, Co-coordinators and staff. Ability to work as part of a team, foster teamwork and communication between staff, and assist in developing a team approach. The health and safety of our people is our highest priority.
