If so, we have an opportunity for an Operations Administration Assistant to join our team in Brisbane, QLD, on a permanent full-time basis working Monday to Friday. Once onboard, you will provide support and administrative assistance to the local management team who oversee vessels and crew in our Brisbane & Far North QLD towage operations. With us, your contribution counts What You Will Do Reporting to the local Operations Manager, your key responsibilities in this position will include: Act as a point of contact for crew on all operational administration matters Support management with crew rosters and scheduling Maintain valid crew certification, training and induction records Coordinate training, permits, inductions and site visits Prepare data and fortnightly timesheets for payroll purposes Greeting visitors, switchboard duties, screening calls, gate intercom and responding to general enquiries Maintain and monitor stationary, office supplies and consumables, and catering requirements for company events and functions. Coordinate onboarding and offboarding of employees with People & Culture Coordinate site vehicles including novated leases, servicing, vehicle registrations and procurement of fuel cards Attend meetings, take minutes and document action items Raise requisitions for purchase orders and manage invoice and expense claim coding and processing What You Will Need To Succeed To be successful in this position, you will be able to demonstrate: Previous administrative or operational support experience (scheduling of resources and/or personnel would be highly regarded) A current drivers license to allow you to drive our vehicles, plus a having license to operate our forklifts would be advantageous (but not essential) Experience in interpreting and working in accordance with enterprise agreements or operational procedures Demonstrated organisational skills with the ability to prioritise tasks, meet deadlines and work well under pressure A strong degree of initiative and willingness to contribute to team cohesion and performance A calm, pleasant and respectful manner when to dealing with a range of stakeholders High attention to detail and accuracy in work Computer literacy including knowledge and experience with various software including Microsoft Office, business management and accounting programs Ability to work discretely with confidential and sensitive information How to Apply If you share our excitement for the journey ahead and would like to work with leaders in the industry, we can’t wait to hear from you To apply, click on the Apply button to be redirected to the job vacancy on the Careers at Svitzer website.
