About the role The Service Administrator is critical in ensuring a seamless customer experience, from efficient contract mobilisation to accurate and timely invoicing. The Service Administrator maintains accurate service records, prepares relevant reports, provides administrative support for inventory management, and fosters effective communication and coordination among service teams and departments. With a strong commitment to continuous improvement, they proactively identify areas for process enhancement and propose solutions to boost efficiency. Additionally, this role is essential backup support to Service Planners, ensuring uninterrupted service operations. Key Responsibilities: - Address customer issues regarding invoicing queries in coordination with the relevant Service Manager and accounts receivable department. - Prepare and process invoices for completed service jobs, ensuring accuracy and compliance with company policies and customer agreements. - Manage billing activities related to service jobs, including tracking and recording expenses and purchase orders. - Conduct audits of service expenditures to ensure adherence to budgetary guidelines and financial policies. - Assist in managing service budgets and expenditures, collaborating with relevant stakeholders. - Maintain accurate and up-to-date records of service contracts, warranty details, and customer information. - Prepare and submit reports on service job status, technician productivity, and other relevant metrics as required. - Assist in inventory management of service parts and equipment, collaborating with the procurement team to ensure timely replenishment. - Collaborate with other departments, such as sales and operations, to address customer needs and service-related issues. - Identify areas for process improvement within the service administration function and propose solutions to enhance efficiency and effectiveness. - Act as backup support to Service Planners when required to ensure uninterrupted service operations. Requirement: - Previous experience in service administration or coordination, preferably in a similar industry. - Proficient in using Service ERP systems and other relevant software applications. - Excellent communication and interpersonal skills to interact effectively with customers, technicians, and internal teams. - Attention to detail and accuracy in data entry and reporting. - Ability to work under pressure and meet deadlines. - Customer-focused mindset with a commitment to delivering high-quality service - Exhibits good personal organisation skills, enabling efficient handling of responsibilities and tasks. - Shows self-motivation and initiative, taking proactive steps to achieve goals and contribute to the team. - Demonstrates a strong problem-solving ability, effectively resolving challenges and finding solutions. - Proven success in organising multiple and diverse tasks within a flexible working environment, adeptly managing various responsibilities.
