What will I be doing? As the Administrative Assistant, Development, you will be responsible for performing the following tasks to the highest standards: Diary management, which includes scheduling and organization of meetings, conference calls and webinars. Organise travel arrangements like land transport, flights and hotel booking, including travel visa applications and COVID-related requirements where applicable. End to end planning and execution of the Development team meetings, conferences, and events for both internal events as well as external events. Prepare PowerPoint presentations where required, assist in collation of reports, and perform data analysis. Provide an efficient and effective administrative support service, including the operation of all office systems (manual and computerized) in accordance with procedures. Maintenance of physical records or documents stored on online platforms, inclusive of maintaining of the current versions with owners and version control. Draft simple correspondence. Assisting with deal closings by preparing execution versions, collecting signatures, arranging closing mechanics, compiling originals. Organise meeting minutes as required and all other basic administration duties. Manage the relationship across other functions ensuring information flows freely. Perform receptionist duties as rostered where required. Carry out other duties within the department as and when required. What are we looking for? An Administrative Assistant, Development serving Hilton Brands is always working on behalf of our Guests and working with other Team Members. To successfully fill this role, you should maintain the attitude, behaviours, skills, and values that follow: Minimum high school diploma or higher education. At least 5 years of secretarial experience in a large corporate environment supporting the senior leadership. Ability to manage confidential information with complete discretion. Experience of working in an efficient manner and adhering to tight deadlines. Understand the importance of providing quality support service. Proactive with excellent attention to detail. Ability to multi-task, plan, prioritize and organize to deadlines. A team player with good interpersonal & communication skills. Positive attitude, flexibility and ability to stay calm under pressure. Sense of responsibility. Strong communication skills, both verbal and written. Proficiency in MS Office Applications (Word, Excel, PowerPoint, Outlook etc.). Adept at creating highly professional MS PowerPoint documents for executive audiences and/or conferences.
