Health and wellness discounts – fitness passport access, free yearly flu vaccinations, discounted health insurance, and access to our Employee Assistance Program for staff and their immediate family Salary packaging options About This Opportunity An opportunity exists for an Administrative Assistant to provide a wide range of office coordination and administrative support activities to the UQ Rural Clinical School Bundaberg Regional Clinical Unit The role involves high level customer service, reception and administrative support, processing bookings and relevant financials, liaising with internal and external stakeholders, and facilitating the efficient and effective functioning of the office’s day to day procedures, operations, logistics and assurance of standards. Key responsibilities will include: Facilitate efficient functioning of the office's day to day procedures and operations, in accordance with administrative protocols and standards. Provide high level customer service, reception and administrative support. Apply a range of desktop-based programs and management information systems. Liaise with internal and/or external clients and stakeholders, including answering routine queries and providing advice as relevant to the role. Coordinate committee/meeting/engagement activities, including booking rooms, scheduling meetings, drafting relevant documentation, taking minutes, monitoring RSVPs and liaison with attendees. This position is located at UQ Rural Clinical School Bundaberg Regional Clinical Unit and reports to the Team Leader. This is a full-time (100%), fixed-term position through to the 31st December 2024 At HEW level 4, the full-time equivalent base salary will be in the range $70,235 - $74,468, plus a generous super allowance of up to 17%. The total FTE package will be up to $82,175 - $87,127 annually. As this role is covered by an Enterprise Agreement, you will also receive regular remuneration increases – at least once a year. About You We are seeking a motivated, organised and reliable Administration Assistant to support the effective and efficient operation of the UQ Bundaberg Regional Clinical Unit. Candidates require effective administration, coordination and interpersonal communication skills, as well as the ability to prioritise tasks and meet deadlines. Applicants should possess a Cert IV or Diploma with relevant work experience or an equivalent combination of relevant experience and/or education/training. High level of organisational, record-keeping and time management skills Experience in the preparation and drafting of correspondence and other material such as minutes. High level computer skills in a variety of packages and the ability to become an effective user of business enterprise systems. Ability to work independently, and within a team environment, using initiative, judgment and discretion. High level of customer service and excellent interpersonal skills including the ability to communicate and liaise effectively with diverse groups within and external to the University and work cooperatively with colleagues across the organisation. Excellent accuracy, analytical skills and attention to detail Experience in and a commitment to living and working in rural and/or regional Australia is desirable. Knowledge of Tertiary Education sector business practices and processes would be an advantage.
