Role Overview The Office Administrator will play a pivotal role in managing the administrative and financial operations of the company. Your responsibilities will be varied, encompassing accounts payable and receivable processing, placement of purchase orders for suppliers and contractors, preparation of trade contracts, financial and administrative data entry, drafting of letters and business proposals, sales account management, providing customer service and sales support, and acting as a company ambassador through phone interactions and welcoming office visitors. Key Responsibilities Provide administrative support to the Directors, sales representatives, and project managers Complete paperwork and contracts as required Ensure accurate and prompt typing of all requested documents Take meeting minutes, collate, and distribute to recipients as needed Arrange job-related travel for staff, collating all relevant documentation Answer all incoming calls with professionalism and promptness Record and forward phone messages to the relevant person Collect, open, stamp, and distribute mail regularly Manage the generic email inbox Coordinate external courier services Keep stationary supplies adequately stocked Maintain supplier and contractor records Handle accounts payable and receivable data entry, reporting, and processing Working with the Directors and Accountant to produce financial reports Preparing and filing BAS lodgements Reconciling supplier and contractor accounts Ensuring accurate and complete project financial reports Assist with customer inquiries and support the sales team by providing accurate and timely information The Successful Applicant will be: Highly experienced with XERO and Microsoft Excel Strong attention to detail Strong understanding of the Australian taxation system and GST A Problem-solver with a constructive approach Excellent verbal and written communication skills A strong team player Benefits and Perks Competitive salary and benefits package Exciting work in an industry leading company Flexible working arrangements in a dog-friendly office Friendly, fun working environment that promotes excellence Ultra-modern office including an in-house bar, pool table, and table tennis APPLY NOW by sending your Resume and cover letter or for a confidential chat call KB or Julie on 02 8416 4181 This is a permanent role so only Australian Citizens and Permanent Residents will be considered as there is no sponsorship available.
