Senior Administration Assistant Permanent Full-time position with competitive renumeration and benefits Based: Sydney, NSW (Hybrid, work up to x2 days from home and office environment) Work with a dedicated and welcoming team Upskill and growth in an area your passionate about, whilst being fully supported and encouraged The Senior Administration Assistant role provides effective and consistent administrative support to a Director(s), business units or teams in matters related to the nominated areas of responsibility. Support may be provided to one or more Directors, Senior Managers or Department Staff. Senior Administration Assistants are responsible for effectively co-ordinating the relevant administration tasks that relate to principal duties and assigned functional group duties necessary to improve communication and organisation in the department where the role supports. The Senior Administration Assistant role resides within the Oncology business unit and the role reports to the Oncology Business Unit Director. What You Will Do Responsibilities include, however not limited to: Support marketing projects HCP/HCO Payments Support Executive Assistant (20%) Lead events driven by marketing teams Assist with budget management Compliance Champion to ensure all relevant processes are followed Work closely with Medical Education and Meetings Manager to ensure alignment of tasks and deliverables in relation to meetings and events Support the Access & Value and the Public Affairs Leads Meetings supported: Internal meetings related to sales and marketing Oncology LT / off-site / department meetings / Access & Value and Public Affairs meetings Global Congresses National Business Meeting support where required Support executive events e.g. Asia Pacific meetings, Medicines Australia events, Town hall meetings, Christmas parties Stakeholder management: Consistently exercises good organisational skills and judgment in setting priorities, while maintaining discretion and confidentiality at all times Effectively & consistently provides the business with administrative and operational support Provision of information is accurate, timely and in accordance with organisational policies and procedures Effective interaction & collaboration with people at all levels within and external to the organisation Ensuring all business activity complies with relevant SOPs, legal hold and our company's ethical standards Meetings management: Providing support for meetings listed above Administration of necessary materials for attendance at internal/external meetings Arranging travel and other logistical arrangements for internal and external customers attending local and international meetings where applicable Organise and set up catering for events Team engagement: Consistently provides support and mentoring for peers as required Attending and productively contributing to team meetings Participating in cross functional teams as appropriate Covering periods of leave for Executive Assistant General administration: Assisting with a range of administrative activities, which may include: Processing of invoices Purchase, Travel & Expense and corporate meeting card reconciliations Processing expense claims (Directors only) General ad hoc administrative tasks Calendar/diary management (applicable for Directors only) Book travel and organize visas What You Must have Tertiary qualification Prior solid experience in an administrative role Pharmaceutical industry experience, an advantage Strong Collaboration skills Previous experience supporting at director/manager level and supporting multiple people in a team environment Intermediate/Advanced level user experience of MS WORD, MS POWERPOINT, MS EXCEL, MS OUTLOOK Experience with SAP Experience in program platform management Excellent Oral, Written & Presentation Skills in English What You Can Expect Work autonomously whilst being supported, encouraged and being part of a trusted Global Leading Pharmaceutical organisation Exposure to upskill and develop in your role Flexibility and opening doors to other opportunities and skillsets Joining a collaborative team of likeminded individuals Career Growth supported We are proud to be a company that embraces the value of bringing diverse, talented, and committed people together.
