Maintain site records, including daily machine hours, receipt purchase orders, create back charges documents, and fuel usage.Reconcile EOM bulk stock, fuels, and oils.Raise and receipt purchase orders, including cross referencing against work scopes and sourcing parts.Costing and invoicing of jobs - Create breakdowns and quotes.Site access paperwork, onboarding mobilisations of employees and contractors including booking Medicals and DASMaintain all site registers - Organise quarterly.General administration KPI data entry and safety information into Myosh.Utilise the Maintenance Management System through concise and accurate entry of equipment records.Daily entering of SMU hours and downtime into Maintenance Management SystemRaise parts requisitions with Procurement team for major and non-major component work scopes.Raise labour and service requisitions with Procurement team for major and non-major component work scopes.Close off work orders upon completion of job ensuring all relevant information is captured into CMMS (AMT) Update component details in the Maintenance Management System upon completion of jobEngage with Maintenance team to improve defect recording and management, and to ensure production and other targets are achieved across the operation.Engage with Regional team to ensure that works are completed according to customer requirements and constraints.Mobilise Force employees and contractors to various sites across WA as required.Review timesheets using E-Time sheets for Payroll submission.Manage internal travel requests via 3rd Party FCM booking system.Work in conjunction with the Accounts team to review & correct invoice queriesOrdering of stationary and workshop consumablesEnter oil sample information into the condition monitoring data base for the relevant OEMAbout you2 years' experience in administration with the ability to deliver varied tasks requiring independent judgementMust be a Kalgoorlie residentMust have experience in the use of Microsoft systemsMust be reliable, punctual, organised and efficient as well as self-motivated and resourcefulDisplay a high level of efficiency with day-to-day tasks while managing problems that may spontaneously arise.Strong time management skills with the ability to work autonomously.Willingness to learn and take direction from management and the administration team.Demonstrated experience in Inventory management and Procurement.Effective planning and organising skills with the ability to deliver on simultaneous projects with competing priorities.High-level communication, interpersonal and negotiation skills with proven ability to foster strong working relationships.Ability to deliver to deadlines.Substantial knowledge and experience utilising computer programs including Computerised Maintenance Management Systems (AMT) and Microsoft Office Suite.The role will be attractive to those that have a strong drive to succeedHow to applyShortlisting will begin immediately, so apply via the link (beside this ad), completing the application form with your resume, demonstrating your experience and its relation to the criteria above.
