Fixed term contract Initial 6 month contract with possible extension Brisbane location We are currently seeking a highly skilled and experienced Senior Administrative Coordinator to provide high quality and timely legal secretarial and administrative support within a legal team, and to assist and support the executive legal secretary with effective training and coaching of legal secretaries to ensure that quality services are provided. As a Senior Legal Secretary at, you will be responsible for a wide range of administrative tasks and support functions, providing high-level word processing and typing, ensuring accuracy in all documents and complex formatting of documents using Microsoft Word, PowerPoint, and PDF will be part of your daily tasks. Your role involves the preparation of briefs, routine correspondence, and the careful monitoring and management of incoming and outgoing communications. You will be tasked with coordinating travel and accommodation arrangements and managing information in various systems, such as Excel spreadsheets and case management databases. Your excellent organisational skills will be put to use in diary management, appointment scheduling, meeting and conference organisation, as well as the preparation and distribution of agendas and minutes. Additionally, your responsibilities will extend to the preparation, review, and actioning of various reports and the maintenance of efficient filing and records systems. You will play a crucial role in assisting our legal professionals to meet financial deadlines, which includes billing and time recording, and ensuring compliance with procedures for the payment of legal expenses and counsel fees. Effective communication and problem-solving skills will be vital as you engage in consultation and liaison with internal and external clients and stakeholders on various matters, including confidential and sensitive issues. In addition, you will have a mentoring and training role, assisting in the development of other legal secretaries. Your ability to manage leave accrual and application, as well as your contributions to the development of guidelines and effective methods, will be essential in maintaining consistently high secretarial and administrative standards within the team. You will be responsible for receiving client feedback and implementing service improvement activities. Moreover, you will assist in the recruitment, employment, training, and induction of new secretarial support staff and the coordination of new staff within the legal team, including their IT and telecommuting needs. To excel in this role, you should possess the following qualifications and attributes: Proven experience as a legal secretary in a similar role. Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel). Exceptional typing and word processing skills. Strong organisational and time management abilities. Excellent communication and interpersonal skills. Attention to detail and a commitment to accuracy. Ability to handle confidential and sensitive information with discretion. Leadership and mentoring skills to train and develop junior staff.
