Location: Macquarie University, Wallumattagal Campus (North Ryde) THE ROLE Macquarie University is currently recruiting for a Graduate Research Admin Assistant. In this role, you will provide reception and administrative support to the The Graduate Research Academy (GRA). the GRA, within the portfolio of the Deputy Vice Chancellor (Research), is a central unit led by the Pro Vice-Chancellor Graduate Research, providing leadership, support, operations and administration for our Higher Degree Research candidates, supervisors, and faculties. The GRA works in partnership with Faculties to provide candidates with an exceptional Higher Degree Research training experience. Key responsibilities of Graduate Research Admin Assistant include: Provide efficient, friendly and timely reception services for the Graduate Research Academy (GRA) Answer and respond to enquiries from current and prospective candidates, staff, and other stakeholders through a range of channels including face-to-face, phone, email, and webchat, escalating to relevant staff members as appropriate Maintain a working knowledge of Higher Degree Research rules, policies, procedures, guidelines, and scholarship programs, and apply these in the provision of advice to candidates and staf Provide administrative support to teams within the GRA, which may include preparation of documentation, reports, spreadsheets and presentations, routine data processing, and other internal and external communications Provide general administrative support including standard email and calendar organisation to the Operations Director and Academic Director. Build effective relationships with staff in the GRA and key stakeholders to support the administrative and services needs of the Academy Monitor kitchen, stationery and other office supplies and advise Office Manager when inventory is low Provide general maintenance of the reception, meeting rooms, kitchen and other common areas to ensure high standards of presentation About Us Macquarie is a university engaged with the real and often complex problems and opportunities that define our lives. Experience working in a high-volume of fast paced administrative setting, providing customer service through a range of channels including phone, email and face-to-face Excellent interpersonal, verbal and written communication skills, including the ability to communicate professionally, clearly, and effectively with a broad range of people from diverse backgrounds Ability to work effectively both independently and as part of a team Excellent computing skills including a sound working knowledge of Microsoft Suite of programs and experience in the use of information management systems and demonstrated well developed word processing and spreadsheet data entry skills.
