The Role: The Administrator will provide excellent customer service to both external and internal customers. The Administration Team is the key communication linkage between the customer, the staff who performs the work onsite, and the wider team. You will drive the operational needs and day-to-day administration of the business unit and ensure timely data entry including customer creation and entry/maintenance of customer service contracts, raise jobs, dispatching, raising of purchase orders for jobs, planning, scheduling & operating for staff utilization. Key responsibilities: Constant communication planning and scheduling of admin employees day-to-day operations Manage the process of deliverable jobs from creation to completion stage using the ERP systems Monitor the activities of field staff by maintaining productivity and utilization levels using the reporting systems Manage admin team for being a point of contact for field staff with issues and providing them with timely resolutions in coordination with the Operations and General Manager, which could include vehicles, tools, equipment, parts needed etc Assist with emerging customer issues with the relevant Manager and accounts back of office in line with contract requirements Manage and coordinate frequent communication with the Admin team, Key Account Managers, and Operations and General Manager regarding workload, resource availability, priorities and actions of the Administration area Assist productivity by organising work in assigned territories Manage data entry of contracts – contract renewals, new contracts, warranty creations Managing process for vendor invoices and submitting to Accounts Payable for payment Responsible for effective utilisation of resources through proper planning of activities Manage reception procedures in regards to incoming and outgoing customer calls, ensuring that all customers receive exceptional customer service in an efficient and professional manner Manage Service admin to ensure all data entry in relation to service jobs is completed prior to invoicing Manage invoicing, ensuring accuracy, and that all work that can be invoiced is invoiced prior to month-end Manage admin team to collate and submit timesheets to payroll, ensuring that all time is accounted for on correct job numbers or internal codes, and ensuring that all discrepancies or excess unproductive time is reported to the appropriate Manager. Ensure costs and expenses are treated with restraint and in line with Company expectations and operating budgets. Coordinate the approval of work order requests in conjunction with the admin team and appropriate Manager Requirements: Excellent communication and organizational skills Ability to adapt to change Previous experience within a similar position; HVAC / Building / Service background would be an advantage, however not essential Strong customer service skills and highly customer focused Previous experience working with SAP and MYOB Ability to multi task and work within a team environment Possess strong problem solving skills and initiative Our commitment to you Our greatest assets are the expertise, creativity and passion of our employees.
