POSITION SUMMARY STATEMENT (defines the major functions/purpose of the position) The Sydney Centre Coordinator responsibilities has evolved from primarily Centre support to cover: Sales and Communications: Video Editing (cost savings by doing in house) Logistics, Creative Services and Operations Admin (vendor payment processing) i-Procurement POC (Training, UATs) with Finance General IT liaison (GTS and IT Sydney vendor) Security (Building pass deactivation) DETAILED RESPONSIBILITIES/DUTIES: Sales and Communications: Video Editing: Understand the requirements from team members on the videos that require editing Ensure deliverable meets timeline and manage expectations of timeline by team members SME for video editing Logistics, Creative Services, Sales and Communications and Operations Admin: Vendor Payment and Management Ensure timely vendor creation and payment for the abovementioned, but not limited to, departments Liaise with GBS Finance on VC and payments as applicable i-Procurment POC (Training, UATS) with Finance General Attend the training, perform UATs as applicable IT Liaison Laptops acquisition with GTS, reformatting of laptops and set up for new joiners Security: Ensure timely deactivation of building pass POC with building management on building/site matters (aircons, building cleanliness) Centre Operations Ensure a neat, clean workplace (Centre, Members’ Kitchen, Staffs’ Pantry, Stationary/Printer, IT Server room and areas) Provide support for site infrastructure as appropriate (printer functionalities etc.) and attend trainings (GPT Fire Safety, ADT Security - Activation and Deactivation) as applicable Vendor management (Gather/Source quotes, research and review, coordination of schedules (internal and external for work activation and air conditioning for after office hours) Raise PRs for replenishment of kitchens and members’ supplies, employee products, stationaries and members’ events Change current display in Recognition Board on receiving updated flyers from Sales, Marketing and Members Services, as appropriate Support catering arrangement for Sydney office staffs’ events Centre Diary Management: Trainings, Interviews, Meetings and Town Halls (AV set up Members booking in MS Outlook (type of party: e.g. Shake, Skincare, HOM, number of members and special requests) Skills/Education/Experience: Experienced in inventory management, office administration and operations Highly organized, self-motivated and responsible Strong in Excel, PowerPoint Strong analytical and problem-solving skills Ability to interact effectively with all levels of staff, distributors and third parties Ability to adapt to a changing environment Ability to solve practical problems and carry out responsibilities under general and/or minimal supervision.
