ABOUT THE ROLE The position of Senior Administration Officer is primarily responsible for providing administrative support in VET by co-ordinating a wide range of administrative functions in support of the VET programs and to ensure student progression. The opportunity is part-time located on the Broome campus. The position is a key point of contact for the VET Department in UNDA to provide a range of information and advice to students; foster and develop relationships with stakeholders and act as a liaison; develop and continuously improve administrative systems and processes; as well as co-ordinate and assist the duties associated with UNDA events, meetings, career expos, workshops and projects. Key Responsibilities: P rovide administrative support to the VET team on all aspects of administrative processes and procedures, including teaching and learning support operations to ensure all services are effective, efficient and achieve a high standard of client service. Create and maintain student files in accordance with ASQA Compliance Guidelines. Resolve administrative problems and address addressing any issues that imped effective student progression and outcomes. Ensure that a quality compliance approach is applied to all tasking. Maintain student records and course delivery systems in the administration of the Student Life Cycle within all VET Programs, ensuring strong relationships between UNDA and students. Student interface and communication – interact with students to solve concerns and assist with enquiries including and not limited to correspondence, mail merges, mail outs, VET email and distribution, course information, enrolments, amendments, completions, reports, due fees and distribution of letters. Ensure program information is available, current and in alignment with regulatory standards on staff and student portals. Provide administrative support to the VET leadership team as required, include meeting coordination, minute taking. Provide high-level customer service to internal and external clients, ensuring needs and requests are responded to with accuracy, tact and diplomacy, in a timely fashion. Plan and prioritise administrative tasks including database establishment and management, word processing, organisation of meetings and events such as staff training and student graduations. Develop and maintain excel spreadsheets when required. Establish and maintain positive and beneficial working relationships with stakeholders and departments across UNDA and with external stakeholders. Assist and participate in reporting for VET compliance processes, ensuring the approach aligns with UNDA and VET Quality framework and policies, procedures and statutory and legislative obligations. Support the development of papers, invoicing, briefs and reports. ABOUT YOU Supportive of the Objects of Notre Dame as a Catholic University. A relevant Degree with subsequent relevant experience or an equivalent combination of relevant experience, education and training. Demonstrated administrative capability with previous experience within the Vocational Education and Training sector, particularly a Registered Training Organisation (RTO) . Proficiency in the MS Office program suite with demonstrated ability to work across different computer systems including Student Management Systems (SMS’s) and Customer Relationship Management (CRM’s) systems. Strong written and oral communication skills with the ability to interact with all students, staff at all levels within an organisation and with external stakeholders. D emonstrated prior experience in an RTO with knowledge and understanding of the Australian Skills Quality Authority, training packaging requirements and experience with government funded programs. Excellent operational and administration skills with the ability to maintain composure and prioritise/balance a workload including conflicting priorities in order to meet deadlines.
