Role: Administrative Support Officer Pay Rate: Up to $66.89 ph super Contract Length: Until 30/11/2023 Location: Wollongong and WFH available Overview: The Administration Support Officer provides a comprehensive range of administration and business support to deliver efficient agency wide management services, providing intermittent support as required for human resources, finance and strategic coordination. Your Role: Undertake a range of administration tasks including coordinating equipment and resource orders, distributing mail, managing and tracking records, maintaining asset registers, booking travel arrangements and monthly reporting. Perform various financial and human resources support tasks including the preparation of purchase orders, goods receipting of invoices in SAP, timely processing of recruitment requests, managing and tracking records, to support compliance with relevant public sector policies, practices and statutory requirements. Provide support and guidance to staff on administration policies and procedures including document control and management related to finance, human resources and strategic coordination to facilitate the delivery of operational activities. Act as a point of contact to refer enquiries and issues to more relevant officers in a professional manner exercising tact and discretion. Report on divisional and ministerial deliverables to ensure timely response to advice requests, correspondence and parliamentary documents. Upload and manage records in the Department's Agency's records management system in accordance with agreed policies and procedures to ensure that all information is accurate, stored correctly and accessible. Support Senior Management in diary management, organise and schedule meetings, coordinate venue hire and catering, prepare agendas and organise briefing papers, coordinate presentation materials, logistical requirements and travel arrangements, draft correspondence and organise equipment and resource orders for meetings. Key Challenges: Working independently to address issues in the absence of key officers who may not be readily contactable due to work commitments. Delivering multiple administrative support activities and services in line with agreed standards, timeframes and milestones, given tight timeframes and the need to maintain accuracy and attention to detail Identifying sensitive issues for the immediate attention of senior management and maintaining confidentiality. About You: Previous experience in administrative roles, preferably in a government or public sector setting. Proficiency in relevant software and tools, including SAP or similar financial systems. Strong organizational skills and the ability to manage multiple tasks simultaneously. Excellent communication and interpersonal skills.
