Role responsibilities The Project Administrator will report to the Chief Strategy Officer and will work collaboratively on a range of projects across Property, Finance, IT, Grants and Risk as well as other strategic projects. Work across multidisciplinary teams to scope and plan projects, create project scopes that are realistic and within budget – develop business cases for projects and resources when required (and obtain those resources on approval). Create project plans with achievable goals; update workflows, conduct risk assessments and action any potential issues as required to ensure all compliance requirements are met. Organise and record-keep regular project update meetings, share and follow up on action items, as well as create progress reports/presentations for various stakeholders – storing all documentation in an easily accessible manner. Budget management - track expenses and predict future costs. Deliver the highest level of customer service to internal teams, build strong internal relationships, and engage effectively with external suppliers, industry partners, Scout groups/districts and more. Create, implement, and coach on streamlined business processes with an eye to continuous improvement. About the candidate You will be a doer, with an eye to spotting and troubleshooting process improvements and ways of working, and excited to join a forward-thinking and forward-moving organisation. Essential criteria Robust experience in a similar position supporting the delivery of multiple, and multi-disciplinary projects – with a proven track record of delivering on projects on time and on budget. Experience in a highly regulated environment (or an understanding of, and ability to apply, safety and risk principles). Tech savviness – strong computer literacy, and proficiency with the Microsoft Office suite (with particular strength in Excel). Able to effectively build strong relationships with ease (internally and externally) and leverage high-level communication skills to liaise effectively to achieve project outcomes. Strong organisational, time management and prioritisation skills when faced with competing and changing priorities – problem-solving with a continuous improvement mindset. Cool head under pressure and ability to handle high-pressure situations, with proven experience with handling confidential information with integrity. Prior to the commencement of duties, the Project Administrator is required to hold a current Working with Children Check clearance (Employed), provide results of a National Police Check and have undergone a background check.
