Role: Program Administrator Pay Rate: Up to $60 ph super Contract Length: Until 28 June 2024 Location: Parramatta/ Hybrid option available Overview: We are seeking a dynamic and highly organised Program Officer to join one of our leading government agencies. As a Program Officer, you will play a critical role in providing administrative and coordination support to the Director and the wider team. Your Role: Undertake diary management, organise travel arrangements, coordinate venue hire and catering, manage information requests, draft correspondence, and organise equipment and resource orders for meetings for the Director. Manage meeting requests efficiently and refer enquiries and issues to the relevant officers where appropriate in a timely and professional manner. Provide secretariat support to regional or branch committees including organising and scheduling meetings, preparing agendas, and briefing papers, coordinating presentation materials and logistical requirements, minute taking, drafting and dissemination, documenting decision-making processes and actioning items. Assist with the collation of confidential and often urgent submissions and responses, reports, briefing notes, Cabinet documents, Parliamentary Questions and House Notes, ministerial correspondence and advice, presentations, minutes, and recommendations for approval, in accordance with the Cluster and parliamentary process. Support the implementation of human resources related initiatives and associated policies, processes, and procedures across the branch such as workforce patterns and development, staff induction, human resources data collection, office accommodation and resources. Undertake office coordination activities including processing equipment and resource orders, distributing mail, filing, preparing purchase orders and invoices, receipting items, maintaining asset registers and monthly reporting. Assist with data collection and reporting related to high profile projects and strategic performance planning. Maintain and regularly review administration, record and information systems, processes, and procedures to identify areas for enhanced efficiency and effectiveness and make recommendations for improvement. Key Challenges: Being adaptable and flexible to manage competing priorities in a demanding and complex work environment. Effectively communicating and working with a wide group of internal and external stakeholders across all levels. Identifying and implementing system improvements that contribute to business efficiency. About You: Sound experience providing business, coordination, and administration support with proven capacity to support high profile projects in a high-pressure environment. Proficiency in planning, executing, and overseeing projects to ensure successful delivery within scope, time, and budget. Strong ability to interact and collaborate with a diverse group of stakeholders, fostering positive relationships and aligning program goals. Exceptional organisational abilities to manage multiple tasks, prioritise workload, and meet deadlines in a dynamic work environment. Keen attention to detail in all aspects of program management, ensuring accuracy and precision in documentation and execution. team player with the ability to collaborate within a team and across departments to achieve program objectives.
