Role Overview: As the Administrative Assistant, you will be reporting to the Team Lead Manager and higher Executive Team. You will be responsible for all first point of contact queries with their varied customer base. A typical day for the Administrative Assistant, will see you providing an exceptional level of customer service via phone and email nationally/ internally, whilst liaising with internal and external stakeholders of the business. This role will give you the opportunity to build critical long-lasting business relationships whilst being a brand ambassador for this business. To be successful in this role, you must have used a large ERP system, i.e. XERO, MYOB, SAP and have had minimum 2 years experience in administration. Responsibilities Ordering and Invoice Reconcilication. Managing customer accounts, taking and tracking customer orders. Creating PO numbers in the system in preparation of ordering. Inventory Management. Ordering materials as requested, and by keeping track of inventories. Processing of invoices, purchase orders and good received via ERP system i.e XERO, MYOB, SAP. Updating the materials inventory/ register when new supplies come in. Build relationships with representatives of the main suppliers in case of issues. Strong data entry input Attending all meetings Collaborating with the wider team when required Candidate Profile You are highly energetic and collaborative in your thinking, wishing to be in a supportive critical role driving performance for a business. You are a strong and sharp people's person with impeccable communication skills, both written and verbal. Your work is always at the highest standard, with high attention to detail. You use your initiative to continually seek answers and follow up with key stakeholders regarding information required to manage customer queries. Your collaborative, transparent and team-focused attitude will see you excel in this role. You are professional, maintain a polite phone manner and have the confidence to liaise with all levels across the business. To be successful in this role, you must have used a large ERP system and stable administration experience.
