This is a Sales Events Intern role with Qantas based in Sydney, NSW, AU Qantas Role Seniority - intern, graduate More about the Sales Events Intern role at Qantas Overview The Event Coordinator plays a vital role in supporting the Event & Program Manager in the planning, coordination, and delivery of high-quality corporate events, programs, and hospitality experiences. This position is ideal for someone who thrives in a fast-paced environment, has exceptional attention to detail, and enjoys working collaboratively with a broad range of internal and external stakeholders. Key Responsibilities Event Logistics & Coordination Assist the Event & Program Manager with end-to-end event logistics, including venue research, supplier bookings, catering, AV, signage, staffing, and run sheets. Coordinate event timelines, schedules, checklists, and documentation to ensure seamless delivery. Support onsite event delivery, including setup, pack-down, and guest management. Copywriting & Communications Draft and proofread event invitations, program copy, briefing notes, and general event communications. Ensure all communications maintain a high standard of clarity, accuracy, and brand alignment. Coordinate invitation distribution, RSVP tracking, and guest communication. Merchandise & Collateral Management Order, track, and manage event merchandise, gifts, and branded collateral. Coordinate packing and distribution of merchandise to internal teams, partners, and event sites. Maintain inventory records and ensure timely replenishment. Supplier & Stakeholder Coordination Liaise with suppliers, vendors, venues, and contractors to confirm bookings, briefs, and deliverables. Build positive relationships with key stakeholders across the business to ensure events meet expectations. Maintain a friendly, professional, and solutions-focused approach when dealing with partners and internal clients. Administrative & Program Support Assist with budget tracking, invoicing, and purchase orders. Maintain accurate event records, databases, and shared documentation. Support the Event & Program Manager with program coordination tasks as required. Key Skills & Attributes Strong stakeholder management – able to build rapport, communicate effectively, and provide excellent service. Supplier and vendor relations – confident negotiating, coordinating, and managing external partners. Exceptional attention to detail – ensures accuracy across logistics, written communications, and documentation. Excellent written communication – skilled in drafting professional, engaging copy for invitations and event materials. Highly organised – able to manage multiple tasks, deadlines, and priorities in a fast-paced environment. Friendly, positive, and supportive – works collaboratively and contributes to a strong team culture. Problem-solving mindset – able to think quickly, adapt, and offer practical solutions under pressure. Proficiency in event software, Salesforce and Microsoft Office (desirable).
