You Will Be Managing Accounts Payable: Reviewing, verifying, and processing supplier invoices against purchase orders and project costing spreadsheets, alongside manually uploading payments into Westpac. Supporting the Executive Team: Providing direct administrative assistance to the MD and CFO across HR, IT, legal, commercial and finance matters, including meeting minutes and spreadsheet upkeep (Fixed Asset Registers, Insurance schedules). Driving Project Admin: Coordinating project travel (flights, accommodation, car hire), managing subcontractor databases, checking compliance documentation, and tracking service provider inductions and timesheets. Maintaining Data & Spreadsheets: Ensuring total accuracy between Xero and internal project tools, plus designing and updating Approved Supplier Spreadsheets. Overseeing Office Operations: Managing office logistics, stationary orders, catering, and team functions, while assisting the Business Development team with marketing presentations and tenders when needed. You Are Experienced in Finance & Admin: You bring strong competence in accounts payable, manual payment banking platforms and general office administration. Systems Savvy: You are proficient in the Xero accounting system and skilled across MS Office products (particularly Excel, Word, and PowerPoint). An understanding of AI and its workplace benefits is highly regarded. A Project-Minded Professional: You ideally possess construction or heavy industry experience and can comfortably handle project-based budgeting, supplier compliance, and site visits as required. Meticulous & Resilient: You have a keen eye for detail, proofreading skills and the capability to manage structured finance processes within an environment that has both busier and quieter periods. A Communicator & Collaborator: You possess excellent written and verbal communication skills, allowing you to build strong working relationships with project managers, consultants and subcontractors.
