We are working with a growing HVAC business based in Carlton, near Hurstville, who are looking for a friendly and organised Receptionist / Administration Assistant to join their office team. This is a great opportunity for someone with administration experience who enjoys a busy, hands-on role supporting customers, technicians and the wider office team. You will be working alongside another administrator in a small, supportive team, helping with scheduling, customer enquiries, invoicing and general day-to-day office support. About the role: Answering incoming phone calls and responding to customer enquiries Managing emails and general customer communication Scheduling service jobs for technicians using ServiceM8 Working closely with the operations team, PM/Estimator and business owners Generating invoices once technicians complete jobs Using Xero for invoicing, with systems integrated through ServiceM8 Supporting the wider team with general administration duties Helping ensure jobs are booked, followed up and completed smoothly About you: Previous administration, reception or scheduling experience Ideally from a trade services background such as HVAC, plumbing, electrical, construction or similar- also open to other admin backgrounds Confident answering phones and dealing with customers Organised, reliable and able to manage a busy inbox and daily workload Comfortable using systems such as ServiceM8, Xero or similar job management/invoicing software A strong communicator who enjoys working as part of a small team Friendly, professional and able to build good relationships with customers and technicians Looking for a stable, office-based role with a reputable trade business What’s on offer: $28 – $35 per hour, depending on experience Full-time hours, Monday to Friday, 9:00am – 5:00pm Office-based role in Carlton, near Hurstville On-site parking available Close to cafés and public transport Supportive team environment within a growing HVAC business Opportunity to play a key role in the daily coordination of service work
