Contract Administrator — Brisbane, Brisbane Region

About the Role: The Contract Administrator is responsible for the administration, coordination, and monitoring of service contracts across OwlEstate’s portfolio of residential buildings. The role ensures that contractor agreements are properly implemented, service delivery complies with contractual obligations, and supplier performance is tracked against agreed standards. The position supports the structured growth of OwlEstate’s contractor network across cleaning, gardening, maintenance, and facility services, as well as the integration of operational systems including OwlConcierge. Tasks & responsibilities A. Contract Administration & Compliance ● Maintain and manage contractor agreements, including service scope, pricing structures, and performance requirements ● Monitor contractor compliance with contractual obligations, including: ○ Insurance requirements ○ Licences and certifications ○ WHS compliance ● Track contract terms, renewal dates, and variations ● Support the preparation and standardisation of contractor agreements and service templates B. Contractor Performance Management ● Monitor contractor performance against service level expectations ● Identify service delivery gaps and coordinate corrective actions ● Maintain records of contractor performance, incidents, and service outcomes ● Provide regular reporting on contractor performance to management C. Supplier Coordination & Service Delivery ● Coordinate the delivery of contracted services across multiple sites and OwlConcierge ● Liaise with contractors to ensure alignment with agreed service schedules and standards ● Support onboarding of new contractors, including documentation and compliance verification ● Act as a central point of contact for contractor-related operational matters D. Operational Systems & Process Support ● Maintain contractor and contract data within OwlConcierge and operational systems ● Support implementation of OwlConcierge workflows related to service delivery and contractor management ● Develop and maintain standard operating procedures (SOPs) for contract and contractor management ● Contribute to process improvements to enhance operational efficiency and scalability E. Reporting & Documentation ● Prepare internal reports on contractor performance, compliance, and service delivery ● Maintain accurate documentation of contracts, service records, and compliance data ● Support preparation of reports for clients and stakeholders where required F. Business Growth & Support ● Lead in onboarding new buildings and service contracts ● Support the expansion of OwlEstate’s contractor network ● Contribute to the development of structured systems for managing multi-site service delivery Skills and Experience ● 1 year in a similar role is required. ● Ability to coordinate with contractors and suppliers to ensure services are delivered in accordance with agreed standards and timelines. ● Strong attention to detail with the ability to manage compliance documentation, including licences, insurance, and regulatory requirements. ● Spanish language skills are highly regarded but not essential.
