Service Administrator – Fire (Uptick) Department: Service Team Environment: Shared team structure | High-volume | Fast-paced About the Opportunity Our client is seeking an experienced Service Administrator – Fire (Uptick) to join their growing and dynamic Service Team. This is a highly administrative, fast-paced role focused on reactive maintenance coordination, quoting, task setup, and invoicing within a fire services environment. Working within the Uptick system, this position will suit a candidate who has several years of experience in service coordination or maintenance administration and can confidently manage a high workload while operating independently once trained. The team operates in a shared structure - no individual manages a fully dedicated portfolio - so collaboration, adaptability, and strong organisational skills are essential. Key Responsibilities Reactive Maintenance & Job Coordination Manage incoming reactive maintenance requests Set up repair and defect tasks within Uptick Coordinate technicians and schedule works Liaise with clients regarding job progress and completion Track repair tasks and defect rectifications Quoting & Compliance Prepare new quotes from scratch Convert approved quotes into active jobs Support compliance-related quoting in collaboration with the compliance team Ensure accurate job setup and documentation Administration & Processing Manage a high-volume inbox and prioritise tasks efficiently Process invoices and service reports Enter and update job data within internal systems Order stock and materials as required Maintain accurate records across the shared service environment About the Team & Growth The business is experiencing strong growth: The Service Team has recently doubled in size Client portfolio continues to expand, including significant federal/government growth Three specialist office teams have recently been established: Dedicated Scheduling Dedicated Government Dedicated Wet Fire The Service Team continues to evolve, creating genuine development opportunities for the right candidate as the business expands. About the Candidate The successful candidate will demonstrate: Several years’ experience in service coordination, maintenance administration, or facilities management support Experience within fire services or strong exposure to compliance-based industries (highly regarded) Strong computer literacy and ability to learn systems quickly (Uptick experience advantageous) Confidence managing a busy inbox and high job volume Ability to work autonomously following onboarding Solid understanding of reactive maintenance workflows High attention to detail and strong organisational skills This role is well suited to someone looking to grow with a business and step into greater responsibility as the team continues to expand.
