Your part in our UnitingCare team The Intensive Family Support Service (IFSS) assists complex, vulnerable families who are at risk of entering the Child Protection system. We are a voluntary service who works alongside families to keep children safe and well. This Administration Officer role is part of a broader UnitingCare's Family and Disability Services initiative to improve how we manage the access, movement, updating, storage, retention and disposal of files and other organisational hard copy and electronic records across their lifecycle We are committed to supporting efficiency, compliance, data integrity, and long-term accessibility of information. Reporting to the Service Manager, you will organise, manage and preserve our client and personnel records. You will also work closely with the archiving project team and internal stakeholders to support best practice records management. Key Responsibilities include but not limited to: Ensure compliance with UC FaDS recordkeeping systems, including procedures for the retention and disposal of records. Operate in accordance with relevant quality and risk frameworks, policies, procedures, guidelines, and legislative requirements. Organise, preserve, and manage both physical and digital records. Accurately file, scan, and index documentation. Identify, classify, and describe records Catalogue and categorise data Identify and prepare records for disposal. Support with audits, reviews, and reporting activities. Maintain confidentiality and ensure the security of sensitive information. Build and maintain effective working relationships with stakeholders. Collaborate with the archiving project team and internal stakeholders to achieve agreed objectives, processes, and timelines. Provide administrative support requiring sound judgement, initiative, discretion, and a high level of professionalism What makes a difference for us? Certificate III in Business Administration or other relevant qualifications. Minimum 2 years experience in administration, data, record keeping and archiving. Demonstrated experience in records, data, or archiving management and knowledge of statutory obligations relating to records management Strong technical skills in electronic record-keeping systems High attention to detail and commitment to data integrity coupled with the ability to work independently Strong organisational, time management skills and have the ability manage competing priorities Excellent written and verbal communication skills Ability to engage effectively with a range of stakeholders.
