About the role We are seeking a reliable and detail-focused Administrative Officer to support the effective day-to-day operations of our service. In this role, you will coordinate a broad range of administrative, clerical and financial tasks that ensure the smooth running of the service. You will provide high-quality reception and customer service support while working closely with staff, clients and external stakeholders. The role operates in line with Anglicare Southern Queensland's values and applies trauma-informed principles in all interactions. This position is permanent, full-time, based at our office in Beenleigh. Responsibilities As the Administrative Officer, you will: Provide reception services, including answering telephone and intercom calls and responding to enquiries. Deliver general administrative support including mail management, word processing, filing and reporting. Provide meeting support by preparing agendas, minutes and action items, and arranging catering and equipment. Manage registers including assets, keys, visitors and staff training. Order and maintain office supplies, first aid kits, kitchen and cleaning supplies. Receipt donations and prepare donor correspondence. Assist with insurance claims and maintain work vehicles where applicable. Support day-to-day operational tasks such as grocery ordering and distribution. Enter timesheet data and prepare payroll reports for processing. Process banking, petty cash and reconciliations in line with policy. Ensure invoices, purchase orders and credit card receipts are coded, approved and submitted accurately. Ensure purchasing complies with delegations of authority and organisational policies. Create maintenance requests and coordinate contractors for repairs and scheduled works. Liaise with contractors and oversee maintenance activities. Coordinate annual maintenance schedules. Ensure buildings and vehicles are maintained in line with workplace health and safety requirements. Maintain fire safety equipment, safety registers and maintenance schedules across service sites. Build and maintain positive working relationships across the team. Participate actively in team meetings and service planning activities. Provide peer support to colleagues where required. Contribute ideas to improve systems, processes and ways of working. Participate in training and professional development activities. About You To be successful in this role, you will bring: Experience in a similar administrative role, including reception and customer service. A strong commitment to trauma-informed practice and respectful service delivery. Exceptional attention to detail and accuracy. Strong written and verbal communication skills, including the ability to manage sensitive matters. Intermediate proficiency in Microsoft Office (Word, Excel, Outlook). Proven ability to organise, prioritise and meet deadlines. Ability to work autonomously while also contributing positively within a team. An interest in supporting women, families, or people with disability to access safe and affordable services. Qualifications and Requirements Certificate or Diploma in Business Administration or a related field (desirable), or equivalent practical experience. Current National Police Check. Current Blue Card (Working with Children). Current Queensland Driver Licence.
