ABOUT THE ROLE This is a fantastic opportunity for a proactive and polished Team Assistant / Receptionist to become the face of the Sydney office. Supporting a group of senior professionals, you will play a key role in keeping the office running smoothly while coordinating diaries, meetings and travel across a busy team. This role suits someone adaptable and self-sufficient who enjoys a mix of structured administrative work and responding to last-minute requests in a fast-paced environment. DUTIES Welcome visitors and manage front-of-house reception Answer and direct incoming calls and manage shared inboxes Coordinate meeting rooms, calendars and video conferencing (Teams, Zoom, Webex) Manage diaries and meeting logistics across multiple team members Coordinate domestic and international travel arrangements Prepare meeting rooms and organise refreshments Manage daily mail, couriers and correspondence Maintain office supplies including kitchen and stationery items Coordinate internal team events and office functions Liaise with building management and assist with general office operations SKILLS & EXPERIENCE 1-3 years’ experience in reception, administration or team assistant roles Strong organisational and diary management skills High attention to detail with the ability to manage multiple priorities Confident communicator Intermediate Microsoft Office skills, particularly Outlook calendar management Experience coordinating meetings, video conferencing and travel arrangements Proactive, flexible and able to work autonomously A positive attitude and willingness to jump in when things change quickly BENEFITS Working hours are 9am – 4pm Prime CBD location on O’Connell Street (5 days in the office) Autonomy and flexibility to manage your own day Exposure to senior professionals and a high-performing team Supportive and collaborative office culture Regular team events, social lunches and office drinks Opportunity to grow your career in a global boutique firm OUR RECRUITMENT PROCESS At Lotus People, we are committed to fostering diversity, equity and inclusion.
