They support a diverse client base through a range of delivery formats including in-clinic consultations, telehealth appointments, and home visits. Services are provided under Medicare, private health insurers, NDIS plans, and care plan arrangements. About the opportunity Due to rapid business growth, we are seeking a mature and highly organised and customer focused Medical Administrator/ Receptionist to join a long established team of 3 administrators and provide support to approximately 12 clinicians. This role will be part-time covering 44 hours per fortnight. Flexibility will be required to assist during busy periods or to provide leave cover, therefore the ability to work above 44 hours per fortnight is mandatory for this role. The shifts will be as follows: Monday: 7:00am – 1:00pm Wednesday: 7:00am – 1:00pm Friday: 12:00pm – 7:00pm Saturday: 7:00am – 1:00pm (every second week) You will be joining an experienced administrative team who work closely together to support clinicians and patients. Key responsibilities include Manage front desk reception, respond to phone and email enquiries, and support patients and clinicians Schedule and coordinate appointments using Best Practice for clinic, telehealth, and home visits Process billing and invoicing across Medicare, NDIS, insurers, care plans, and private payments Complete daily batch payments, banking deposits, and reconciliations Maintain accurate patient records including registrations, referrals, forms, treatment notes, and consent documentation Ensure compliance with NDIS documentation requirements and maintain secure records Assist with maintaining and updating policies, procedures, and the practice manual About you This role is not suited to entry level applicants. Candidates must have several years of administrative experience within a structured, process-driven environment and the ability to follow established procedures. An empathetic approach when dealing with patients, together with strong organisational skills, is required for this position. Previous experience in medical or healthcare administration will be highly regarded, although training in the healthcare industry can be provided for the right person.
