Purpose of the Role BGIS is pleased to offer a newly created Lease Administrator opportunity, supporting a recently awarded government property portfolio in Victoria. This role plays a central part in establishing strong leasing governance and ensuring accurate, transparent portfolio management from day one. Reporting to the Property Management team, you will work collaboratively across BGIS and client stakeholders to maintain accurate lease records, manage critical dates, and support financial and contractual compliance across a large and diverse portfolio. The ideal candidate will be detail-oriented, organised, and collaborative, with a thoughtful approach to documentation, data integrity, and stakeholder communication. Key Responsibilities Maintain accurate and up-to-date lease records, documentation, and critical dates within BGIS Connect and associated systems. Process lease variations, renewals, extensions, rent reviews, and related transactions. Prepare rent schedules, outgoings summaries, financial reports, and portfolio reporting. Support Property Managers with lease documentation, approvals, and due diligence processes. Liaise with landlords, tenants, consultants, and internal teams to resolve queries and ensure data accuracy. Ensure compliance with lease obligations, statutory requirements, and internal governance standards. Contribute to transition activities including lease data verification and system alignment. Maintain strong document control practices to ensure audit readiness and traceability. Identify opportunities to improve processes and enhance data reliability. Education, Experience & Skills Essential: Experience in lease administration, property operations, or commercial real estate. Strong understanding of lease structures, terminology, rent review processes, and critical date management. High attention to detail with strong document management and data accuracy capability. Sound numeracy skills and confidence preparing rent and outgoings summaries. Experience using property management or facilities management systems (lease modules highly regarded). Strong written and verbal communication skills. Ability to manage competing priorities in a structured and organised manner. Desirable: Qualifications in property, business administration, real estate, or a related discipline. Experience supporting government or large institutional property portfolios. Exposure to transition or newly mobilised contracts. Workplace Flexibility This role is based in the Melbourne CBD, close to public transport. It is a part-time position (20 hours per week during core business hours). Occasional additional hours or site visits may be required to support portfolio needs.
