About The Role As the Senior Administration Officer, you will work autonomously and lead Licensing and Regulatory Interventions (LARI) in the Specialist and Regulatory Services directorate to provide high-level administrative and operational support and ensure the effective delivery of business functions within LARI. You'll be part of a skilled and supportive Licensing and Regulatory Interventions (LARI) team, with opportunities for learning and professional development. Key Responsibilities Monitor, coordinate, and respond to high-level confidential correspondence through the LARI Admin inbox, ensuring documentation meets quality and timeframe requirements. This includes maintaining SharePoint for document tracking, filing and records management. Review and monitor the establishment for LARI, providing advice and updates to the Administration coordinator on staffing positions, changes and issues. Review payroll and establishment reports to ensure accuracy and investigate and correct discrepancies where required. Undertake the administrative requirements for end-to-end recruitment processes within LARI, ensuring compliance with relevant HR policies and procedures with internal and external stakeholders, and upholding confidentiality requirements. Process and reconcile invoices for payment, ensuring compliance with OIR financial policies. Track and manage the incoming and outgoing financial responsibilities of LARI and maintain accurate records of purchases, purchase orders and relevant documentation. Organise travel arrangements and itineraries for LARI including the maintenance of the travel register for budget purposes and the processing of travel allowance forms and payments. Coordinate the procurement of uniforms, personal protective equipment (PPE) and equipment in line with organisational requirements, including maintaining records of orders, tracking replacement eligibility and liaising with facilities regarding the supplier's service agreement. Manage fleet activities for LARI vehicles and parking. Assist in the purchasing and issue of goods and services in accordance with delegated authorities and in compliance with organisational purchasing/procurement policies and procedures. Coordinate meeting schedules, training, interviews, bookings and associated preparation including agendas and minutes. Collaborate with the Administration Coordinator and Strategic Review and Correspondence Officers to collate information for and assist with briefing notes and submissions. Research, compile and assist in the collection of business unit statistics. Implement recommendations from Finance, Facilities, HR and Procurement to ensure all procedural requirements are met. Assist with general administrative duties as directed by the Administration Coordinator.
