Purpose of the Role BGIS is seeking a dedicated Lease Administrator to support the accurate and timely administration of leasing information across a large, diverse Victorian property portfolio. Reporting to the Senior Property Manager, you will work closely with both BGIS and government stakeholders to maintain high-quality lease data, ensure compliance, and contribute to strong portfolio governance. The ideal candidate is organised, collaborative, detail-focused, and comfortable navigating multiple priorities in a dynamic environment. Key Responsibilities Maintain accurate and up-to-date lease records, documentation and critical dates within BGIS Connect and associated systems Process lease variations, renewals, extensions, rent reviews, market assessments and related transactions Support Property Managers with leasing documentation, approvals, due diligence and stakeholder communication Ensure compliance with lease obligations, statutory requirements, financial governance and BGIS quality standards Liaise with landlords, tenants, legal representatives and internal teams to resolve discrepancies or gather information Prepare financial summaries, rent schedules, outgoings details and reporting to support portfolio financial management Contribute to transition activities including lease data verification, record migration and contract alignment Support monthly, quarterly and annual reporting deliverables Maintain strong document control, audit readiness and traceability Identify opportunities for improved accuracy, efficiency and data reliability Education, Experience & Skills Essential Experience in lease administration, property operations or commercial real estate Understanding of lease structures, terminology, rent reviews and critical date management Strong attention to detail and document management capability High numeracy and financial literacy, including preparing rent and outgoings summaries Proficiency with property management or FM systems (experience with lease modules ideal) Strong communication and stakeholder coordination skills Ability to work in a fast-paced, deadline-driven environment with competing priorities Analytical mindset with a commitment to continuous improvement and service excellence Desirable Qualifications in Property, Business Administration, Real Estate or related field Experience in Victorian Government property portfolios Familiarity with tenancy legislation, commercial real estate governance or high-volume lease administration Exposure to transition projects or large-scale data migration activities Workplace Flexibility This position begins on-site at our Melbourne CBD office during training and onboarding. After this period, hybrid working (2 days WFH per week) during Core Business Hours is available, with flexibility around start and finish times. Occasional local site visits may be required as well as ad hoc additional hours on an as-needed basis.
