Summary: We are seeking an organised, detail-oriented, tech savvy team player as a Health Safety Environment Quality Administrator to join our team! The incumbent will be responsible for supporting the implementation, administration, and continuous improvement of VICT’s Health, Safety, Environment and Quality (HSEQ) systems. This role is uniquely positioned at the intersection of operational safety and digital transformation, enabling the business to transition towards a streamlined, tech-driven safety management platform. Working in collaboration with the HSEQ team, frontline teams, managers, and system vendors, the HSEQ Administrator ensures that safety data, compliance records, and performance reporting are effectively digitised, accessible, and leveraged for continuous improvement. Responsibilities: Digital Safety System Support • Support the deployment and administration of digital safety management systems (Beakon, SharePoint, Microsoft Forms). • Manage user access, data integrity, and system configuration to reflect business processes. • Assist in the digitisation of forms, workflows, inspections, audits, and incident management processes. Data Management & Reporting • Maintain accurate and timely records of incidents, actions, hazards, inductions, training, and audits. • Generate weekly and monthly reports on safety performance, trends, and lead indicators. • Support dashboard development for executive reporting and operational insights. Compliance & Documentation • Ensure all compliance documentation is current, version-controlled, and digitally stored. • Assist with the preparation of audit evidence, regulatory submissions, and drive the VICT towards certification requirements (ISO 45001, ISO 14001). • Maintain registers (e.g., risk, hazard, chemical, PPE) and ensure alignment with digital platforms. Training & Onboarding Support • Coordinate digital onboarding and induction programs for employees, contractors, and visitors. • Support the rollout of microlearning and toolbox modules via mobile or online platforms. • Track training compliance and certification expiry through digital registers. Continuous Improvement • Assist the HSEQ team in identifying process inefficiencies and opportunities for digitisation. • Participate in user testing and feedback loops for new digital tools or upgrades. • Contribute to HSEQ campaigns, innovation projects, and change initiatives across the business. Experience & Qualifications: Essential: Experience in HSEQ administration or compliance-based role. Demonstrated proficiency with digital platforms (e.g., SharePoint, Power BI, safety management systems). Strong organisational skills and attention to detail. Excellent communication and stakeholder engagement skills. Ability to work independently and as part of a high-performing team. Desirable: Qualifications in WHS, Business, or IT. Experience in a logistics, transport, or maritime environment. Exposure to digital transformation or automation projects. What's in it for you?
