Senior Administration Officer - Examinations — St Lucia, Brisbane

Academic Services Division This is a full-time fixed-term position through to Dec 2025 with salary in the range $91,658 - $98,330 (HEW 6), plus a generous super allowance of up to 17%. Based at our St Lucia campus About This Opportunity The Senior Administration Officer is central to the overall coordination, preparation, and data management of UQ's centrally administered digital examinations, leveraging various University systems and third-party software. This pivotal role involves providing high-quality administrative services and support for central examination operations across all campuses, ensuring adherence to University policy and procedures while contributing to strategic initiatives. You will also oversee technical supervisors and manage the day-to-day activities of Administration Officers focusing on digital exams, collaborating closely with the Manager and Coordinator to continually enhance processes and services within the Examinations Section. Key responsibilities will include: System Management & Enhancement Take overall responsibility for the configuration and archiving of relevant systems, ensuring accurate and timely data production for centrally managed exams. This includes recruiting and training users, problem-solving system issues, and identifying opportunities for system enhancements and upgrades to improve processes and efficiencies. Resource & Venue Coordination Identify and book suitable venues for central and non-central exam accommodation and coordinate the logistics and timelines for venue set-up and take-down, including furniture, equipment, supplies, and labour. This also involves liaising with stakeholders to ensure backup equipment availability and fostering effective working relationships. Team Supervision & Operational Support Supervise the day-to-day activities of Administration Officers for digital exams, answering enquiries, coordinating administrative tasks, and managing all digital exam logistics across campuses for efficient resource use. Recruit, train, and coordinate specialised digital examination supervisors, including roster management. Process Improvement & Stakeholder Engagement Provide support for exam event configuration, coordinate the release of digital exam papers to the Library, and contribute to initiatives for process improvement, streamlining, and automation. This involves developing and maintaining strong working relationships with key university units, developing standard operating procedures, reviewing website accuracy, undertaking project work, and providing secretariat support as required. Please Note this role in the Examinations Section requires work outside of normal hours and on Saturdays during examination periods. There are also leave restrictions from June to July and November to December, as well as potentially in April and September, to cover examination preparation and active examination periods. About You Degree/qualifications with relevant experience. High-level competence in system data management and using a wide range of computer applications in a network environment. High-level written and interpersonal communication, negotiation, and relationship-building skills, with the ability to employ them in a complex environment to improve work processes and communicate clearly with University and external stakeholders. Superior organisational and administrative skills, including the ability to manage competing priorities, maintain accuracy, meet strict deadlines, and demonstrate strong problem-solving skills to resolve issues under pressure. This includes proven leadership skills and the ability to supervise and develop staff in a service-oriented environment. Ability to work independently as well as cooperatively within a diverse team, proactively contributing to unit objectives. Proven ability to develop procedure/user guide documents, implement processes, contribute to continuous business process improvements, and rapidly acquire detailed knowledge of University policies and procedures. You must maintain unrestricted work rights in Australia for the duration of this appointment, and may be required to complete background checks including, criminal history and education checks.
