Job Description Job Title Second in Charge Reports To Practice Manager Direct Reports None Role Purpose To support the Practice Manager (PM) in running the Medical Centre and providing services to Health Care Professionals (HCPs) and patients. Key Responsibilities HCP Services Compile medical reports; Type letters; patient recalls; ad hoc requests Measure of Success: HCPs paid on time; No HCP Complaints; Adheres to admin SOP Patient Services Greet patients; Resolve patient disputes; Register immunisations. Measure of Success: Front desk disputes resolved; significant issues escalated Updating Systems Banking; Sorting mail; Responding to faxes; Workers Compensation; Batching and adjusting; Transferring patient files; Scanning and assigning to patient files; Answering phones; Patient billing; Managing centre in absence of Practice Manager Measure of Success: Banking, Patient files & Immunisation register correct and up to date Workplace, Health & Safety Act as a role model for WHS in your practice Assist PM/BM implement WHS policies and procedures into day to day operations Ensure all personnel on site, including visitors and contractors adhered to our WHS policies and procedures Assist PM/BM in ensuring workplace inspections and audits are completed Ensure Hazards are reported using the appropriate Hazard report tool and follow up on c actions to correct any hazards identified Identify any emerging risks and participate in risk register reviews / risk assessments Report all incidents or injuries as soon as possible but no longer than 24hrs to management using the appropriate incident reporting procedure or via phone / email if a serious incident has occurred Support incident investigations Assist in ensuring our injury management policy is followed and assist with workers compensation claims and return to work plans Support workers and their right to stop work if they feel the task cannot be completed safety Competencies: The How Value Addition Structured problem solving Supports with facts and thorough analysis Effective project management and delivery Displays business judgement and is solution oriented Teamwork Teaming ForHealth and is a team player Strong communication skills – verbal and written We are in it together: Collaborates across functions, locations and stakeholders Leadership Takes ownership and it’s personal Effectively coaches both up and down Embodies the “10 things that make us tick” Minimum Requirements Qualifications High School Experience Customer Service; Administration; Reception Critical Skills Computer skills; telephone systems; Verbal communication skills Other details Job family Admin Pay type Salary
