Summary: We’re looking for an organised, proactive, and reliable Administration Officer to join our team on a casual basis, with availability required on Mondays and Tuesdays, and the flexibility to provide back-up support at short notice when team members are away. This role is essential to the smooth day-to-day running of our clinical operations. You’ll be working closely with our team of allied health professionals to assist with scheduling, coordination, and administrative support. Responsibilities: Provide administrative support to ensure the smooth scheduling of client appointments and clinician rosters. Manage and respond to phone calls, emails, and other correspondence in a timely and professional manner. Maintain accurate records and client databases, ensuring confidentiality and compliance. Coordinate calendars, reschedule appointments as needed, and support clinician availability. Assist with general office duties such as data entry, document preparation, ordering supplies, and filing. Provide support during staff absences, often at short notice. Liaise with clients and staff to resolve scheduling conflicts or queries quickly and sensitively. Support broader administrative functions as needed, including HR admin and onboarding tasks. What We're Looking For: Availability on Mondays and Tuesdays is essential. Flexibility to provide cover when other staff are on sick leave or annual leave. Previous experience in a clinical or healthcare environment is highly desirable. This is also a great pathway for people studying in a healthcare field who'd like to gain experience in a clinical environment. Strong communication and interpersonal skills – you're confident talking to clients and team members alike. Proven ability to work in a busy, changing environment, managing competing priorities calmly. High attention to detail and strong organisational skills. Proficiency in Microsoft Office and familiarity with scheduling or client management systems. A team player with a strong work ethic and initiative.
