Job Description This is a 3 months fixed-term role with a view to extend. Supports an SVP or below. Executive Assistant to Regional Managing Director Australia and New Zealand Role & Responsibilities: - Full knowledge of the Microsoft suite - Outlook Email, Excel, Word, PowerPoints - Familiarity with SLACK a plus - Ability to use zoom digital platform. - Learning agility to pick up new systems such as the internal expenses and travel platforms. - Strong Calendar Management essential to organise and schedule meetings and appointments and associated logistics for meetings - zoom F2F, catering, travel, transit. - Prepare costings for team meetings and personal travel. - Identifying appropriate travel itineraries and submitting upline approval requests prior to booking travel - Monitoring all requests for travel are completed correctly and guide them through the approval channels. - Ensuring pre-briefs, Exec Briefs are in place for all meetings. - Work with Operations and Finance teams to accommodate pop up meetings. - Liaise with Marketing to coordinate events and to consolidate nominations, registration, and attendance lists. - Write business appropriate correspondence whilst liaising with external parties and organising meetings. - Assist in the preparation of scheduled reports. - Submit expense reports in accordance with compliance and on time. - Ability to handle sensitive information in a confidential manner. - Minute taking where requested.
