Project Administrator — Brisbane, Brisbane Region

Locations: Stapylton, QLD Wetherill Park, NSW About the Role We are seeking two experienced and emotionally intelligent professionals to take on Project Administrator roles during a critical operational launch phase within a national infrastructure project. These roles are pivotal in managing a high volume of subcontractor interactions , many of which require reassurance, clarity, and professionalism. The successful candidates will play a key role in stakeholder engagement, query resolution, and onboarding support , with a strong focus on delivering consistent and accurate messaging across all communication channels. Due to the client-facing nature of the work, these roles are predominantly on-site , with the possibility of some work-from-home flexibility once established. Key Responsibilities Serve as the first point of contact for subcontractor queries via phone, email, SMS, and in-person visits . Triage queries using internal spreadsheets and databases to determine status (e.g., progressing, incomplete, not proceeding). Identify missing information or gaps (e.g., documents, compliance issues) and communicate next steps clearly. Escalate complex issues to relevant internal teams while maintaining ownership of the stakeholder experience. Ensure all communications reflect a calm, consistent, and accurate message , especially during periods of uncertainty or change. Maintain composure under pressure and during periods of high call and email volume . Represent the organisation with empathy, professionalism, and clarity, particularly when interacting with culturally and linguistically diverse subcontractors. Who You Are You are someone who thrives in fast-paced, people-focused environments , with a strong understanding of operational processes and stakeholder communications . You are proactive, self-sufficient, and able to juggle multiple competing priorities while ensuring stakeholders feel heard and supported. You’ll be a great fit if you: Have a background in customer service and/or contract administration , ideally within infrastructure, construction, utilities, or large-scale service environments. Communicate effectively with diverse audiences, including individuals from non-English speaking backgrounds. Are emotionally intelligent and culturally aware, with a calm, empathetic approach to complex or high-stress situations. Are comfortable interpreting and working with spreadsheets and databases to determine actions and statuses. Have excellent attention to detail and the ability to deliver consistent messaging under pressure. Are confident handling sensitive queries and managing expectations without overpromising or misrepresenting outcomes.
