With this growth comes the opportunity to join a professional, highly regarded team in a newly created Administration Assistant role, providing support directly to the Executive Leadership Team and wider business. About the Role Reporting to the Chief Financial Officer & Company Secretary, you will play a key role in ensuring smooth day-to-day administrative operations, while providing essential support to the Executive Leadership Team. This is a role for a proactive, resourceful and highly organised individual who takes ownership of their work, thrives in a fast-paced environment, and enjoys contributing to the bigger picture. You’ll be someone who takes pride in fixing problems, managing competing priorities, and building strong working relationships across the business. Key responsibilities include: Providing high-level administration support to the Executive Leadership Team. Building strong relationships with internal and external stakeholders, including tenants, contractors and service providers. Confidently taking direction while also showing initiative and problem-solving capabilities. Coordinating meetings, boardrooms, catering, and travel arrangements. Managing office supplies, equipment maintenance and general office presentation. Supporting the administration of registers, filing systems (electronic and physical), and compliance documentation. Assisting with contractor inductions, compliance records and WH&S requirements. Providing concierge cover during lunch breaks where required. Supporting special projects, team events and ad hoc administrative tasks. Skills and Experience Its more about attitude and willingness to learn than years of experience, you may be working in hospitality/ real estate and wanting to grow your career or studying to further your professional opportunities. Ideally some exposure to administration or office coordination with strong stakeholder engagement and relationship-building skills. Excellent organisational and time management abilities, with strong attention to detail. Confidence to take ownership of tasks, solve problems and make decisions. Ability to take direction, manage competing priorities and work autonomously. Highly professional verbal, written and interpersonal communication skills. Proficiency in Microsoft Office Suite (essential). System savvy, with a curious mind to look at best practice, creating standard operating procedures and become to go to person for system related queries Experience within property, shopping centre management, real estate or hospitality (desirable but not essential).
