We’re seeking an experienced Executive Assistant & CRM Administrator to support our Executive General Manager (EGM) and play a key role in maintaining and improving our client relationship management systems. About the Role In this dual-function position, you’ll provide high-level executive support to the EGM and the Strategy & Growth team while also managing and enhancing the efficiency of our CRM system. This is a dynamic opportunity for someone who thrives on organisation, attention to detail, and working collaboratively across teams. Key Responsibilities Executive Assistant Duties Proactively manage the EGM’s diary, appointments, and correspondence. Coordinate internal and external meetings, travel arrangements, and logistics. Draft and proofread reports, spreadsheets, presentations, and formal communications. Prepare board-level documentation and assist with monthly board reporting. Take accurate and timely meeting minutes. Assist with corporate governance, insurance, and compliance-related documentation. Organise company events and functions as needed. Maintain systems and procedures that support smooth executive operations. CRM Administration Duties Accurately input and update client data in the CRM system. Maintain clean and consistent client records; remove outdated or duplicate entries. Track and log client interactions (calls, meetings, emails). Support opportunity pipeline management and ensure opportunity data is up to date. Use dashboards, analytics, and reporting tools to generate insights and trends. Collaborate across departments to share client information and ensure seamless service. Monitor CRM usage and encourage consistent adoption across teams. Identify and help resolve CRM-related issues and process inefficiencies. What You’ll Bring Proven experience as an Executive Assistant or similar senior administrative role. Experience with CRM systems (e.g., Salesforce, Microsoft Dynamics, or similar). Exceptional organisational and time management skills. Strong written and verbal communication skills. High attention to detail and ability to handle sensitive information confidentially. Experience in the construction, utilities, or engineering industry (desirable).
