Experienced Administration Assistant Location: Shepparton | Job Type:Part-Time | Onsite Training Provided We are seeking a highly organised and detail-oriented Administration Assistant to join our clients friendly and professional team. This role is ideal for someone who enjoys working in a structured environment, is confident with financial documents, and thrives on supporting others to deliver outstanding client service. Key Responsibilities: Front desk reception duties and greeting clients Communicate effectively with Advisers and Paraplanners Manage client onboarding, including preparation of documentation (Xplan experience preferred) Prepare and manage client service agreements and gather necessary information Complete fund forms (manual and electronic) Process and manage investment-related workflows and advisor instructions Assist with portfolio administration, including issue resolution and reporting queries Confidently use online fund portals and Microsoft Office 365 suite Scan, file, and maintain confidential records accurately Respond to email enquiries in a prompt and professional manner Diary management and general administrative support Assist with Centrelink documentation and related tasks What We’re Looking For: Previous experience running a small business is highly regarded Strong numeracy and comfort working with financial data Logical, analytical mindset with excellent attention to detail Professional presentation with a warm and team-oriented attitude Eagerness to learn new systems and business procedures Excellent written and verbal communication skills A “can-do” attitude and ability to work independently Additional Information: Training will be provided onsite Proficiency in Microsoft 365 is essential Prior experience with Xplan is advantageous This position description is not limited to the duties listed; flexibility and initiative are key If you’re a confident and capable individual looking for a rewarding administrative role in a supportive environment, we’d love to hear from you.
