Our Customer Service and Admissions team at our Clayton campus is now looking for a professional, empathetic and motivated individual to join us in a frontline customer service role. Working alongside other Administration Officers, you’ll be the first point of contact for people coming into the hospital. About the Role This is a permanent, part time role, working five shifts (37.5 hours) per fortnight at Monash Medical Centre (MMC), Clayton. The shifts you’d be working on a regular basis are likely to be: Week 1 of the fortnight; Monday and Friday: 7:00am - 3:30pm Week 2 of the fortnight: Thursday: 7:00am - 4:00pm Saturday: 8:00am - 4:30pm Sunday: 10:00am - 3:00pm Working as part of a dedicated team, you’d receive your roster for work at least two weeks in advance, to help you plan your time and accommodate any other commitments you have. In addition, you’d have to opportunity to pick up additional shifts at other hospitals in the Monash Health network when colleagues take periods of significant leave or when we need your support with covering other absences. Our Reception/Admissions Department at MMC Clayton is open seven days a week to enable us to meet the healthcare needs of the community we serve. Our shifts currently have varying start and finish times (largely between 7:00am and 8:00pm) and may change from time to time as our services further develop and grow. This role is particularly important as it is usually the first point of contact for people entering the hospital and sets the tone for their experience with us. In addition to providing a warm, welcoming greeting to people approaching you at reception, your key responsibilities would also include: Providing an equally high standard of customer service to people you interact with over the phone; Utilising a number of software systems to support your work and assist consumers Ensuring timely, complete and accurate entry of data and details when admitting and updating patient details into a range of systems. We use iPM as our Patient administration system. You would also need to work with our VAED audit reports and may be asked to undertake other related administrative duties, About You/ What You Need We are a caring, patient-focused team, working in a busy, varied environment every day. We’re looking for someone who shares our patient-focused outlook and who is motivated to apply their strong administration and customer service skills to a dynamic workplace. To be considered, we’ll look for you to demonstrate these attributes: Excellent communication skills, including demonstrated listening skills, and sensitivity to the feelings of others Strong office administration skills and an ability to rapidly grasp the challenges of a busy workplace where multi-tasking is a must Passion for performing your work to a consistently high standard Ability to prioritise tasks as circumstances change, so that critical and/or urgent tasks are completed on time Aptitude for learning new systems and processes quickly Flexibility to accommodate shift work and ability to work at other Monash Health sites if needed is essential. Previous experience working in healthcare administration, with an understanding of medical terminology such as iPM, SMR and EMR systems will be highly regarded.
