Due to continued growth, an opportunity exists for an experienced Contract Administrator to join the team in the North Region. About the Role: As a Contract Administrator, you will be responsible for managing and overseeing contracts, ensuring compliance, and maintaining effective communication between all stakeholders. You will play a vital role in contract negotiation, document preparation, and project coordination, contributing to the overall efficiency and success of our business operations. Tasks Include: Administer and coordinate commercial cleaning contracts across the North Region. Develop and manage scheduling for general and periodical cleaning services. Engage with clients to confirm scopes, respond to ad hoc requests, and organise services within agreed timeframes. Draft, review, and manage service contracts and agreements based on the requirements. Set up and maintain site folders with specific site plan and OHS documentation to ensure compliance with client contract requirements Coordinate with site supervisors and cleaning staff to ensure timely and quality service delivery. Assess and approve incoming work requests, escalating complex or high-risk matters when necessary. Handle queries and concerns from facilities staff in a timely and professional manner. Maintain accurate contract documentation and ensure compliance with service expectations. Support the Senior Client Portfolio Manager with reporting, issue resolution, and addressing client concerns. Utilise scheduling and task/project management applications to enhance operational efficiency. Liaise with contractors, vendors, and service providers to coordinate maintenance and service delivery. Establish and update records for new facilities, contractors, and personnel within internal systems. Identify potential risks in contract execution and develop mitigation strategies. Maintain accurate and timely records in line with internal procedures and audit requirements. Ensure service requests are readily available for internal audits and quality assurance. Review client contracts and create detailed work plans to deliver scheduled and periodic services throughout the contract term. Communicate with clients to coordinate the timing and delivery of services, ensuring minimal disruption. Provide oversight and leadership to contract teams, ensuring quality standards and timelines are met. Skills and Qualifications expected from the Contract Administrator: Degree or advanced diploma or diploma in relevant industry such as project management, business or management recent minimum of one year full-time of relevant experience as a contract administrator Use Knowledge and/or experience in coordinating an internal and contractor maintenance program. General maintenance skills knowledge Experience in the commercial cleaning industry, with a solid understanding of OHS standards and best practices. Ability to interpret service contracts and translate them into work assignments and schedules that align with KPIs. Strong communication and interpersonal skills to effectively engage with clients and field staff. Excellent organisational skills, with the ability to manage time and priorities across a busy portfolio. Proficiency in Microsoft Office (Word, Excel, Outlook) and familiarity with scheduling and task/project management applications. A proactive and collaborative mindset, with the confidence to work both independently and as part of a team. Tertiary qualifications in Business, Administration, or Operations Management (preferred but not mandatory).
