About the role Refugee Health Network Queensland is seeking applications for a Senior Administration Officer to join the team on a Permanent Part-time basis working 15 hours per week based at Mater South Brisbane. The Refugee Health Network Queensland builds capacity, partnerships, and facilitates coordination of care across health, settlement agencies, communities, government and non-government sectors. The Network includes regional networks, topic specific working groups and key policy stakeholders including government and community. The Senior Administration Officer delivers administrative assistance to the Network, supporting both the coordinator and the department director. This role also includes providing secretariat services for meetings and working groups. The Network is funded by Queensland Health and supported by Mater Refugee and Multicultural Health. Salary range: $38.81 - $43.16 per hour plus 11.5% superannuation and access to not-for-profit salary packaging up to $15,900 access to many staff benefits! What you’ll be doing Provide administrative assistance to the Network coordinator and department’s director including, but not limited to, coordination of meetings, minute taking, maintenance of membership list, correspondence and organising resources and information relevant to the Network; Perform administrative tasks related to finance including, but not limited to, processing of invoices, maintaining finance spreadsheets and human resource management as required; Ensure effective, accurate and timely communications with staff, internal and external stakeholders, communicating with sensitivity and discretion. This includes working with community stakeholders in a cross-culturally sensitive manner; Assist with organisation of events, including but not limited to, education sessions, workshops, staff events; Assist with set up of marketing material in liaison with the Network Coordinator and the Resource Coordinator e.g. website updates, e-news, brochure development; Exercise judgement where necessary to solve immediate problems in situation where precedents have not been set and procedures not defined; Comply with and adhere to Mater Health Services policies, procedures, standards and legislation relevant to the role and work area About you To be considered for the role; Evidence of relevant qualifications, continuing education programs and experience demonstrate skill, knowledge and/or ability relevant to the position. Relevant industry qualification highly desired. Demonstrated knowledge and/or experience of working with stakeholders. Experience of being from or working with people from a refugee background is highly desirable. Proven track record in office administration including ability to learn new processes and manage office procedures in a timely and organised manner e.g. ability to coordinate diary management, including setting up of meetings and associated functions. Proven problem-solving skills including ability to identify problems, seek support as required and resolve issues. Excellent customer service, communication and interpersonal skills. Demonstrated integrity with respect to confidentiality of official and consumers interests. High level literacy and writing skills to assist in data synthesis, research and report writing and drafting correspondence under the supervision of the Refugee Health Network Coordinator. Proficiency with MS Office Suite. Why join us?
