TC Beirne School of Law , based at the Faculty of Business, Economics and Law (BEL) Full-time (100%), permanent position with a collaborative, high performing team Base salary will be in the range $74,534 - $79,026 17% Superannuation (HEW Level 4) Based at our vibrant St Lucia Campus About This Opportunity We are seeking a motivated, organised, customer focused Administration Assistant to support the effective and efficient operations of the School of Law. Reporting to the School Manager, the role involves the efficient coordination of administrative support, front office administration, including the provision of high-quality student and staff service delivery relating to teaching and assessment within the Law School. The role will also provide administrative support for the School’s research program and assist with the general operational requirements of the School. Key responsibilities will include: Front Office Administration Provide client focused, accurate, timely and professional reception services including answering email, telephone and face to face enquiries from a diverse client group including but not limited to advice to students on degree programs offered by the School of Law. Direct enquiries to appropriate academic or professional staff for further advice if required. Student Administration Provide general program and course information to students (over-the-counter, by email or telephone) including the use of mySi-Net, CRM and other University web- based resources. Coordinate the roll-out of all Blackboard sites each semester for the School in consultation with academics, update all tutor details, and publish the sites. Assist with the processing of applications for deferred school examinations and variations to assessment requirements including liaising with the Director of Teaching and Learning, maintaining records and advising students and course coordinators. Assist the School’s Assessment Officer with the preparation of examinations, examination submissions, mid semester examinations, examination scheduling and supervision thereof. Assist with the tutorial sign on process. Assist with generating and formatting class lists for distribution to tutors. Process applications for a variety of student related requests. Research Administration Assist the Research Administration Officer with general student enquiries with regard to the Research Higher Degree Program. Assist the Research Development Manager with the processing of applications for Summer and Winter Research Programs and advising scholars and unit coordinators. General Administration Coordinate the maintenance of office equipment and reporting operational issues through Archibus. Maintain and take responsibility for the School’s key register. Monitor stock of office supplies and process orders as needed. Manage the School’s internal room booking process and approvals, including car space bookings. Undertake general duties including the collection and distribution of mail, photocopying, delivery of urgent documentation by hand and the processing of large mail-outs. The maintenance of the School’s boardroom, events kitchen and kitchenettes, ensuring they are appropriately stocked. Maintain the School Office to provide a professional and well-organised environment and ensure that staff mailboxes and door signs are updated regularly. Coordinate the loan and use of School computers, microphones and clickers. Preparation of agendas and minutes. Undertake other duties consistent with the above as may be required from time to time. Knowledge of the University’s policies and procedures relating to operations and/or student administration, with the ability to interpret and apply such policies and procedures. Excellent written and verbal communication skills, and excellent interpersonal skills including the ability to communicate effectively with clients by telephone, email and in person, and experience in dealing with persons of different cultural backgrounds. Ability to prioritise own workload, work independently and as part of a team, meet deadlines in a fast- paced service delivery environment, whilst maintaining accuracy and attention to detail. Ability to effectively problem-solve and identify process improvements with a view to implementing change in consultation with key stakeholders. Demonstrated sound knowledge of University systems including CRM, Si-Net, UniFi, UniTask, Si-Pass etc. Demonstrated competency with the Microsoft Office suite of Programs, general computer literacy and information retrieval. Confidence to exercise initiative, confidentiality and judgement, and demonstrated flexibility to thrive in a dynamic organisational environment and enthusiasm for addressing unexpected new challenges at short notice.
