The Role The role would suit someone with solid experience (min 1 year) as a legal assistant/secretary with a background in personal injury or insurance claims. Key responsibilities: * Preparing client briefs * Generating templates and populating them with information as instructed * Liaising with clients and other third parties * Preparing court documents, correspondence and other legal documents * Month-end and ad hoc billing * Electronic filing of documents to Work10 for client and administrative matters * Dictation transcription * Formatting and finalising of letters, court documents and commercial legal documents * Basic letter drafting * Booking appointments * Updating settlement record document * Updating and preparing document templates * Updating insurance team work schedule and managing calendars * Updating master matter list * Proof-reading and sending documents to client - initial legal advices, pre-trial conference opinions & post-pre-trial conference reports * Maintaining meeting notes and task lists to co-ordinate the work of the insurance team * Such other tasks as may reasonably be required to assist or support other personnel and/or as reasonably directed by management in order to operate a high-quality law practice Secondary responsibilities (backup for Practice Assistant) * Photocopying, scanning and printing as required * Sending, saving and cataloguing emails, correspondence, reports and other documents * File opening/closing * Uploading and downloading documents to/from client portal * Downloading and saving incoming documents from eCourts Portal and WorkCover Online * Conducting social media research on new briefs * Presenting a professional and hospitable image in office functions such as answering the door to greet clients, offering them refreshments * Contributing to the smooth and professional running of the office, e.g. by answering the telephone, receiving physical deliveries or documents and maintaining the cleanliness of the office, including the kitchen and common kitchen areas * Outside work (Landgate, deliveries, banking, Australia Post) Required skills * Intermediate-advanced knowledge of Microsoft Word and Outlook 365. * Strong attention to detail and accuracy * Strong organisational skills * Fast and accurate typing * Ability to meet deadlines * Strong interpersonal and communication skills * Ability to work well in a team.
