You will provide administrative support to Managing Director, Real Estate APAC and his team members in Sydney. In addition, the EA is part of the wider CDPQ Mondial APAC team setting, and needs to coordinate and cooperate with other EAs in the region / head office to ensure work is completed. This role calls for an individual with exceptional organizational skills, the ability to perform effectively under pressure, handle complex scheduling and to collaborate effectively with various business units and who is adept at solving problems before they escalate. You must be self-motivated, reliable and able to use the technology at their disposal to address needs and facilitate their daily work. Main duties include the following: Proactively provide top-tier executive assistant support by anticipating the needs of the Managing Director. This includes extensive diary management for the Managing Director and his team, coordinating internal and external face-to-face meetings, and managing all video calls, across different time zones. Welcome and assist visitors, manage the scheduling and preparation of meeting rooms, and oversee all logistical arrangements for onsite meetings to ensure a seamless experience Provide full support in travel management with our travel vendor for team members’ domestic and international travel (itineraries, flights, hotels cars, visas, etc) Promptly and tactfully respond to enquiries from internal stakeholders, partners and senior executives; Handle confidential and sensitive information with due care and discretion; Ensure submission of expenses incurred on Concur. Managing authorised signatory requests eg via DocuSign as and when required. Other ad hoc administrative duties and work as a team with office manager and fellow EAs to ensure effective management of office operations Plan & coordinate special projects and events with local leadership team Key requirements 5 to 7 years of experience as an executive assistant; Knowledge of written and spoken French is an advantage; Pleasant disposition with excellent and interpersonal communication skills; including clear written and spoken English Possess high degree of discretion, diplomacy and tact in discharging duties Meticulous and goal-driven Efficient multitasker with excellent organizational and time management expertise Flexible, adaptable and calm under pressure Proficiency in digital technology (Microsoft Office: Sharepoint, One Note, Word, Excel, Outlook, PowerPoint and Teams) Ability to work well with all levels of people Able to work independently as well as a good team player with good initiative Feeling that my role is important.
