Medical Workforce Administrator — Bunbury Area, Bunbury Region

Your role at St John of God Bunbury Hospital The Medical Workforce Administrator provides medical workforce administration, operational activities and governance support for St John of God Bunbury Hospital to ensure effective and efficient delivery of workforce services to medical staff. The position is responsible for delivering comprehensive medical workforce services including recruitment, on- boarding, rostering, leave management, invoice reconciliation, accommodation requirements, records management and customer service. The role is offered on a Permanent full time basis. The Position: Manages the new starter on-boarding process (including seconded doctors and leave relievers) for webpas, Medicare Provider Number, Health Apps, network access, security swipe cards, creating passwords for Junior Medical Officers, including senior medical practitioners (salaried) and locum Doctors whilst maintaining confidentiality and a high level of discretion at all times. Compiles and distributes medical rosters; liaises with relevant Head of Department (HOD) to ensure known roster gaps are filled and timely distributes rosters to appropriate staff. Manages daily JMO staffing activity and working hours to ensure compliance with contractual requirements. Provides ongoing assistance in the coordination of junior and senior doctors leave and cover requests in accordance with the relevant AMA Industrial Agreement and management of leave relief, including liaising with locum agencies, rostering of leave relief staff, liaising with department Caregivers and relevant HOD to ensure roster/s are fulfilled. Ensures all medical doctor have appropriate qualifications, valid registration, credentialing, and visa (if required) approvals in place to be employed by SJGBH in conjunction with Credentialing Officer. Accurately and timely process timesheets and adjustments for all doctors Coordinate onsite and offsite accommodation bookings for medical workforce staff including booking of accommodation via Sirvoy for rental properties and booking of hotel accommodation as required; coordinate and schedule linen changes and cleaning of rental properties; escalating issues for rentals requiring maintenance to appropriate channels and invoice coordination as required. Manages and coordinates the payment of invoices; ensures each invoice has been validated, coded and processed within the payment scheduled. You will have highly developed consultation, negotiation, conflict resolution and interpersonal skills including a demonstrated ability to apply these skills when working with people at senior / executive level. To be successful in this role, you will possess a high level of experience in multi-discipline administrative functions, along with advanced skills in word processing, computer software and computer literacy, including demonstrated experience using Microsoft Office, particularly Excel and Word.
