Portfolio Administrator — Highgate, Perth

About the Job About the role The Portfolio Administrator plays a critical role in supporting the successful delivery of ICT and OT projects and portfolio within the Digital Projects Branch. This position is responsible for providing high-level administrative and coordination support across all phases of the project lifecycle, from initiation through to benefits realisation and close-out. Working in close collaboration with program managers and delivery teams, the Portfolio Administrator contributes to the effective management of individual projects and the broader project portfolio, ensuring alignment with PTA’s governance frameworks, policies, and strategic objectives. The role encompasses oversight of governance, scheduling, coordination, and reporting activities across a portfolio of digital projects. It provides dedicated support to the Portfolio Assurance and Support Unit (PASU), including monitoring project performance, facilitating lessons learned, and driving continuous improvement initiatives. The Portfolio Administrator works collaboratively with stakeholders to identify and manage project and portfolio risks, prepare high-quality project documentation, and support the implementation of assurance processes. Additionally, the role contributes to enhancing organisational capability in project delivery by supporting the application of the Project Management Framework (PMF), and provides technical, administrative, and ad hoc support to the management team as required. About You! To excel in this role, you should possess: Demonstrated experience and/or qualifications in project, program, or portfolio management, with a strong understanding of methodologies, project lifecycles, tools, financials, risk mitigation, and resource coordination—particularly in technology-driven environments. Advanced written and verbal communication skills, with the ability to prepare clear, engaging reports and present complex information to a wide range of stakeholders. Strong conceptual and analytical skills with the ability to assess complex systems, interpret data, solve problems, and provide actionable recommendations. Proven ability to prioritise, plan, and manage multiple tasks while maintaining a strategic perspective aligned with organisational objectives.
