About the Opportunity As our Program Administrator you will be responsible for managing the scheduling, administrative, and organisational tasks within the Multi Class Sustainment lead team. You will report to a member of the MCS lead team and will provide high level scheduling and administrative support such as overseeing schedules, reporting, stakeholder management, customer visits, meetings, and both international and domestic travel for the department; including the management of a diverse range of critical tasks and issues, services and projects that relate to key strategic objectives. Responsibilities Provide confidential, efficient and accurate administration support to the MCS lead team and their respective departments. Preparation, development and coordination of a range of professional papers/reporting, inclusive of Board and Committee Papers, Agendas, Monthly BPR and Stakeholder reporting and internal/correspondence. Preparation of a broad range of documents including CMS documents, department documents and communications, PowerPoint presentations, VIP and stakeholder visit presentations. Assisting in the coordination of visits/meetings onsite including the coordination of Security approvals, catering, PPE, ensuring attendance of relevant ASC management or Executives and that presentation packs are finalised and ready to go. Effectively and efficiently manage multiple calendars, schedules and inboxes for the MCS lead team and arrangement of trave/accommodation for MCS lead team and respective departments. Drafting of communications (Business & Department) Record, collate and distribute meeting minutes and actions as required. Professionally manage hey stakeholder relationships such as Royal Australian Navy, Australian Submarine Agency, AUKUS partners, external industry partners, internal ASC executives and board, and Internal ASC departments. About You Significant demonstrated experience as a Program Administrator, Personal Assistant, Senior Administrative Assistant or Office Manager. Demonstrated ability to support the strategic and operational objectives of an organisation. Advanced skills in the use of Microsoft Suite and Document Management Systems (preferably BoardBooks, PLM). Demonstrated stakeholder engagement skills to work collaboratively with internal and external stakeholders. Highly developed written and verbal communication skills to liaise and negotiate effectively Experience in the preparation of department communications, board papers and executive reports. The ability to work autonomously to organise their own workload to achieve accurate and complete outcomes, using strong attention to detail and problem-solving skills. High level of skill required in preparing presentations and collating data is required. High level of integrity and respect, be innovative, flexible and adaptable. Eligibility This role requires a current National Police Clearance and an Australian Defence Security Clearance to an NV1 level.
