Project Administrator - Full Time/Permanent — Mangerton, Wollongong Area

About the Role We are seeking a detail-oriented and proactive Project Administrator to support our project management team. The successful candidate will play a crucial role in coordinating project activities, managing documentation, and ensuring effective communication among stakeholders. Key Responsibilities Preparing detailed project budgets and financial forecasts Managing and monitoring project expenses to ensure alignment with approved budgets Analysing and forecasting project profitability and financial performance Arranging project financing in coordination with the Finance Manager Supporting project managers with administration, coordination, and communication tasks across multiple active projects Scheduling and preparing for meetings, taking minutes, and following up on action items Maintaining and updating project documentation such as timelines, registers, contracts, reports, and budgets Assisting with procurement processes — preparing purchase orders, liaising with suppliers, and tracking invoices Helping monitor project progress and ensuring deliverables are met on time Acting as a central point of contact between internal teams, external vendors, and stakeholders Using project management tools and systems to support planning, reporting, and delivery What We’re Looking For Previous experience in a project coordination or administration role (minimum 2 years) Experience working in finance and operations within GCC-based companies Proficient and well-versed in Pronto Software for managing project and financial data Strong organisational skills with excellent attention to detail A natural communicator – comfortable engaging with a wide range of people and ensuring everyone stays informed Proficiency with Microsoft Office (Word, Excel, Outlook); experience using project management tools (e.g., MS Project, Asana, Trello, or similar) is a plus Ability to manage competing priorities and meet tight deadlines A proactive, can-do attitude — someone who enjoys being part of a team and stepping in to support where needed Diploma or Bachelor's degree in Business Administration, Project Management, or a related field Desirable Attributes Experience in project administration Familiarity with project management methodologies such as Agile or PRINCE2 Ability to work independently and as part of a team
