About the Role The purpose of this role is to provide hands-on executive support to the sales team by co-ordinating all associated administrative tasks, and ensuring smooth day-to-day operations. This role plays a vital part in ensuring the smooth operation of the sales team, you are the “go-to” person for all support duties and will be involved in both reactive and proactive work as required. Success in this role relies on your strong organisational skills, attention to detail, and ability to manage multiple tasks efficiently in a fast-paced environment. Your support will help improve internal coordination and ensure the team can focus on client engagement and service delivery. Your day will begin with managing daily morning sales huddles where you will ensure agenda items discussed are logged, action items are set as tasks for the team to assist in planning for a productive day ahead and follow up on outstanding items from the previous day. You will manage all inbound email enquiries, e nsuring a timely response to customers and forwarding any relevant information onto the appropriate team member. Preparing scope of works and proposals for clients is also a key part of this role so your attendance in discovery meetings with customers is necessary to capture important information. The ideal candidate will be highly organised, proactive, and able to thrive in a fast-paced environment. Key Responsibilities Executive Assistant duties - Supporting the leadership team to enable them to deliver projects on time and on budget. Sales Support: Qualify inbound leads, coordinate discovery meetings, and ensure timely follow-ups to maximise conversion opportunities. Administrative Coordination: Manage project deadlines, set up job folders, maintain databases, and handle tender documentation. CRM Management: Ensure accurate and up-to-date records of client interactions, leads, and sales progress in Pipedrive CRM. Client Engagement: Conduct warm follow-up calls for slow-moving projects and oversee end-of-job ceremonies, including completion certificates and client gifts. Team Support: Organise sales team huddles, manage office supplies, and provide general administrative assistance to enhance team productivity. Additionally, you must be able to start at 7.30am to ensure everything runs smoothly and oversee the morning huddles. Key Attributes Strong organisational skills and attention to detail. Excellent communication skills. Proven ability to work under pressure and meet deadlines. A proactive approach to problem-solving with a solutions focus. Knowledge of construction processes and materials is an advantage, but not required—what matters most is a hands-on attitude.
